This privacy policy outlines our privacy principles and approach, and we will regularly review both the policy and the practices and procedures intended to ensure its effectiveness.
Terminology
We Agency World – “We” or “us” or “company”
Introduction
We Agency World is an expert, qualified, and experienced provider of casting, talent management, and artist services for production companies, producers, agencies, and businesses in Ecuador, Latin America, and worldwide. At We Agency World, we believe that the privacy of all the data we have is fundamental to the ongoing success of the company.
We Agency World values the relationships with its customers, contacts, and potential clients and recognizes that failing to protect any of the data it holds would undermine those relationships and would not meet our obligations. As a result, We Agency World is committed to implementing this policy effectively and consistently.
Personal information
We Agency World collects and may retain personal data of talents, including contact information and physical characteristics of talents, with their consent and for the sole purpose of being used in the audiovisual industry to promote their talents in the professional field.
We Agency World provides services to other companies that are linked or engage in audiovisual and high-interest activities for talents. The participation process is subject to prior consent from both parties for development. An exception to this process will be a marketing database for the promotion of our services.
Contractual requirements
When We Agency world provides services to any client organization or individual, we will have a contractual requirement to maintain relevant information about those services. In addition to maintaining official contact details of the individuals acting on behalf of the client, the nature of the services provided may involve subsequent processing of personal information. We Agency world will store and process the data for the duration that we provide services to the client, followed by an appropriate retention period after the cessation of any services.
Marketing communications
We Agency World may maintain a marketing database of professional individuals who have given their consent to our periodic correspondence. This database may include name, phone numbers, email address, professional relevance to us, and a record of the correspondence we have had with each person.
These individuals may request to inspect their personal contact data, correct it, or unsubscribe from our communications at any time. The email address of individuals who wish to unsubscribe may be retained so that we know not to contact them again
Children's data
We Agency world will intentionally store the personal information of minor children under the strict consent and responsibility of their representative, which may be: parents, guardian or legal delegates under the constitution or regulations of each country.
The pre-registration information of the minor will be validated and supported with legal documents of the minor and his representative in order to allow the minor to participate in lawful audiovisual projects that do not meet their integrity.
The principal will be previously notified of the audiovisual projects and will be responsible for their participation in the same way, the principal may cancel the talent file of the minor in such a way that the elimination in the database will proceed.
Website data collection
We Agency World follows common practices by analyzing website visits, using cookies, and storing data about each session and the device used. This data is anonymous and not correlated with any personal information. The purpose of collecting this information is to improve the content and design of our website, and not to profile individuals or capture any personal information.
When we provide services on our website that require a login and personal identification information, we will inform the individual that they are giving their consent for us to create an individual account or pre-registration in our database for them. The individual will have the right to close their account with us and request that all their data be deleted after an appropriate retention period.
Information security measures
We Agency World operates an Information Security Program to protect all data it holds, including personal information. This means that there are technical controls in place to protect all computers and devices used to store, process, and access confidential information, with additional access controls, staff training, and periodic reviews of these measures.
Encryption
We Agency World will always encrypt the personal data it holds, both in transit and at rest. In general, whenever possible and appropriate, encryption techniques will be implemented to avoid unnecessary risks; as a baseline, data will always be ensured to be encrypted over public networks and when stored on devices in the public domain.
Third-party due diligence
We Agency World uses technical services from external providers, including internet services, to make its operations more effective, for example, operating resilient systems on Microsoft Azure’s cloud platform or processing payments through an online payment provider such as PayPal. In such cases, we will conduct due diligence with the service provider to ensure that their data protection measures are sufficient to protect the personal information that they will maintain on behalf of We Agency World.
Before using a service provider for data processing, We Agency World will carry out a risk assessment of the provider. A contract between We Agency World and each data processor will provide assurance that personal data is adequately protected and individual rights are respected.
Individual rights
Individuals have the right to see any personal information that We Agency World may hold about them, and to request that it be corrected if inaccurate, or even to request that their personal information be deleted. Anyone wishing to exercise these rights must make a formal “subject access request” in writing to the address at the end of this policy.
In some circumstances, We Agency World may be obliged to keep records even after a person has requested that they be deleted. However, this would be unusual, and we would delete such information as soon as our obligation has expired.
We cannot respond to requests for personal information made by calls or in-person, as we cannot guarantee the privacy of communication, so requests of this kind must be made by mail.
Not to share
We Agency World will not share, disclose, or transfer personal information to any other person or organization without prior consent.
If we find a good reason to work together with any other organization in the future, we will let you know our plans and ask for your approval before sharing your information.
When the disclosure of personal data is required by a court of law or other similar authority, we will respect the law of the country.
